This page explains what personal data thedomainrobot.com collects, why, and what you can do about it. If you use the Service, this policy applies to you.

The terms used in this Privacy Policy have the same meanings as in our Terms and Conditions, which is accessible at https://thedomainrobot.com, unless otherwise defined in this Privacy Policy.

Who is responsible

The data controller for this site is Mac, Denmark. For anything in this policy, including a request about your own data, please contact us.

Information Collection and Use

We only collect what the site actually needs. In practice that is three things.

  • An account, if you create one. Registration is optional and stores your username, email address, an encrypted password, and any first or last name you choose to give. Your saved Favorites and Matches are linked to that account, along with the date you last logged in. The lawful basis is performance of a contract: without it there is no account to give you. If two-factor authentication is enabled, we also store its status for your login.
  • The contact form. Writing to us sends your first name, last name, email address and message. Submissions are stored in the site database as well as emailed to us, so that we can follow up on a conversation. The lawful basis is legitimate interest in answering you.
  • Server log data. Whenever you visit, the server records what your browser sends: your IP address, browser version, the pages you visit, and the date and time. These logs keep the site running and protect it from abuse. The lawful basis is legitimate interest.

We do not process payments, and we do not ask for a phone number or a postal address.

Cookies are small files stored by your browser. Anything that is not strictly necessary to run the site, including statistics, is only set after you agree to it in the consent banner. Exactly which cookies are used, by whom, and for how long is listed in our Cookie Policy, linked in the footer of every page.

You can change your mind at any time with the “Manage consent” link in the footer. Withdrawing consent is as easy as giving it, and it does not affect anything that happened before you withdrew.

Service Providers

A small number of third parties process data on our behalf. They may only use it to perform the task assigned to them.

  • Google Analytics, to understand how the site is used. It runs only if you accept statistics cookies, and is blocked entirely until then.
  • Google reCAPTCHA, on the contact form, to tell people apart from spam bots. It is provided by Google and receives technical data about your interaction with the form.
  • Mailgun, which delivers email sent by the site, such as your contact message or an account notification.
  • Our hosting provider, which stores the site and its database and keeps the server logs described above.

Some of these providers are based outside the EU and EEA. Where that is the case, transfers rely on the European Commission’s Standard Contractual Clauses or an adequacy decision. We do not sell your personal data, and we do not share it for advertising.

How long we keep it

  • Account data is kept for as long as the account exists. Delete your account and it goes with it.
  • Contact form submissions are kept while the matter is open and are reviewed periodically, so that old correspondence does not sit in the database indefinitely.
  • Server logs are kept only as long as our hosting provider retains them for operational and security purposes.
  • Analytics data is retained according to the retention period set in the Google Analytics property.
  • Your consent choice is stored for up to twelve months, after which the banner asks again.

Your rights

Under the GDPR, and the UK GDPR if you are in the United Kingdom, you may ask for a copy of your personal data, and for it to be corrected, erased or restricted. You may object to processing based on legitimate interest, and you may ask for your data in a portable form. Where we rely on consent, you may withdraw it at any time.

To exercise any of these, contact us. If you are not happy with the answer, you can complain to the Danish Data Protection Agency, Datatilsynet, at datatilsynet.dk. In the United Kingdom you may complain to the Information Commissioner’s Office at ico.org.uk.

Security

We value your trust in providing us your Personal Information, thus we are striving to use commercially acceptable means of protecting it. But remember that no method of transmission over the internet, or method of electronic storage is 100% secure and reliable, and we cannot guarantee its absolute security.

Our Service may contain links to other sites, including registrars and hosting companies. Some of those are affiliate links, which never change the price you pay. If you click a third-party link you will be directed to that site, which we do not operate. We strongly advise you to review the privacy policy of any site you visit. We have no control over, and assume no responsibility for, the content, privacy policies, or practices of any third-party sites or services.

Children’s Privacy

Our Services do not address anyone under the age of 13. We do not knowingly collect personal identifiable information from children under 13. In the case we discover that a child under 13 has provided us with personal information, we immediately delete this from our servers. If you are a parent or guardian and you are aware that your child has provided us with personal information, please contact us so that we will be able to do necessary actions.

Changes to This Privacy Policy

We may update our Privacy Policy from time to time. Thus, we advise you to review this page periodically for any changes. We will notify you of any changes by posting the new Privacy Policy on this page, and the date at the top changes with it.
